Frequently Asked Questions
Everything You Need to Know About Your Arctic Journey
Planning an Arctic journey should be as enjoyable as the experience itself. Whether you're visiting Northern Norway for the first time or returning to explore more, we've gathered answers to our guests' most common questions.
From tailor-made itineraries and booking arrangements to Northern Lights, accommodation, transportation and Arctic weather, we're here to help you travel with confidence.
1. Planning Your Arctic Journey
What is Legendary Arctic?
Legendary Arctic is a high-end Destination Management Company (DMC) based in Tromsø, Northern Norway. We specialise in creating tailor-made Arctic journeys for couples, families, private groups and corporate travellers, combining exceptional experiences, carefully selected accommodation, premium transportation and personalised service.
What is a tailor-made journey?
A tailor-made journey is designed specifically around your interests, travel dates, preferences, group size and budget. Rather than following a fixed itinerary, we create a personalised experience that reflects how you want to discover the Arctic.
How do I start planning my journey?
Simply complete our Tailor My Journey enquiry form and tell us a little about your travel plans. Our team will review your wishes, discuss suitable options and guide you through the next steps.
How far in advance should I book?
For the best choice of accommodation, private guides, and exclusive experiences, we recommend contacting us 6–12 months before travelling, especially for Christmas, New Year, and peak winter periods.
We can also assist with shorter-notice arrangements, subject to availability.
Can I book a last-minute journey?
Yes. We welcome last-minute enquiries and will do our best to arrange a memorable Arctic experience. However, accommodation and popular activities may be limited, particularly during peak season.
Do you offer fixed packages or fully customised journeys?
Our Signature Journeys are designed to inspire you and show you what's possible. We can adjust every itinerary to your preferences, including destinations, duration, accommodation, activities, and travel pace.
Can you arrange a complete holiday?
Absolutely. We can coordinate accommodation, private transfers, guided experiences, restaurants, and other travel arrangements to create a seamless journey from arrival to departure.
Can I book just one experience?
Yes, depending on the experience and availability. For individual day tours and smaller activities, our sister company, Legendary Adventure, also offers a selection of experiences.
Which destinations do you cover?
Our main destinations include Tromsø, Senja, Lofoten, the Lyngen Alps and Alta. We can also create extended journeys across other parts of Northern Norway and the wider Arctic region.
Can I combine several destinations?
Certainly. Multi-destination journeys are one of our specialities. We carefully plan the route, accommodation and transportation to create a comfortable experience without unnecessary travel or frequent hotel changes.
2. Itineraries & Travel Design
How does the itinerary planning process work?
We begin by understanding your interests, preferences and travel plans. Our team then designs a suggested journey, coordinates suitable arrangements and presents a personalised proposal.
Once you approve the itinerary and confirm the booking, we secure the services and prepare your final travel information.
Can I change my proposed itinerary?
Yes. We encourage you to share feedback so we can refine your journey before final confirmation. Changes after booking are subject to availability, applicable supplier terms and possible additional costs.
How flexible are the itineraries?
Flexibility is central to our approach. We design journeys around your preferred pace and interests, while allowing reasonable flexibility for Arctic weather, local conditions and unexpected opportunities.
Can you include free time in our itinerary?
Of course. We believe exceptional travel is about balance. Your journey can include peaceful mornings, spa visits, independent exploration and time to enjoy your accommodation.
Will we receive a detailed itinerary before arrival?
Yes. Once your arrangements are confirmed, we provide detailed travel information, including accommodation, transfers, scheduled experiences, meeting points and other practical details.
Can you arrange special occasions?
Absolutely. We can help organise honeymoons, proposals, anniversaries, birthdays and other celebrations, including romantic accommodation, private dining and memorable experiences.
Do you arrange corporate journeys and incentive travel?
Yes. We arrange tailor-made journeys for small corporate groups, executive retreats, incentive trips and private gatherings. We focus on intimate, high-quality experiences rather than large-scale events, combining personalised service, seamless logistics, and authentic Arctic adventures.
For larger events or more complex arrangements, we collaborate with trusted MICE partners who can provide additional expertise and support. Please contact us with your requirements, and we will be happy to explore the possibilities together.
3. Booking & Confirmation
How do I confirm my booking?
Once you approve your personalised proposal, we will send the booking confirmation and payment instructions.
Your booking is confirmed in accordance with the payment terms stated in your proposal and our Terms & Conditions.
Is my journey confirmed immediately after paying?
Payment initiates the confirmation process. We coordinate the included services with our suppliers and confirm once we've secured the arrangements.
What information do you need from us?
Depending on your itinerary, we may request full names, contact details, arrival and departure information, ages of children, dietary requirements and other information necessary to arrange your journey.
Can I book on behalf of someone else?
Yes. You may arrange a journey for family members, friends or corporate guests, provided you have permission to share the necessary personal information and accept the applicable booking responsibilities.
Can you arrange a surprise journey?
Certainly. We can help with surprise holidays, romantic escapes, and special celebrations while keeping arrangements discreet.
4. Pricing, Payments & Cancellation
How are your journeys priced?
We price each Legendary Arctic journey individually based on duration, season, accommodation, experiences, transportation, group size, and your requested service level.
Your proposal will clearly state the total price and included arrangements.
Do you charge a journey design fee?
Yes. Designing a personalised journey requires professional planning, local expertise, and coordination with accommodation providers, guides, and other suppliers. Our journey design fee is non-refundable and credited towards the final journey cost when you book. We will explain the applicable fee before detailed planning begins.
Do you provide an itemised price breakdown?
Our proposals generally present the journey as a complete experience rather than listing every individual supplier cost. This lets us combine services, contracted rates, and exclusive arrangements into one carefully coordinated itinerary. All inclusions and exclusions will be clearly described.
How much deposit is required?
A 25% non-refundable deposit is generally required to confirm your journey, unless otherwise specified in your proposal.
When is the final payment due?
The remaining balance is due no later than 45 days before departure.
For bookings made within 45 days of departure, we normally require full payment at confirmation.
Which payment methods do you accept?
We accept secure online payments through Flywire and bank transfers. Payment instructions will be provided with your invoice.
Can we pay separately if travelling as a group?
Split payments may be arranged upon request. An administrative fee of NOK 250 applies to each additional transaction.
What is your cancellation policy?
Cancellation conditions depend on when you cancel and the services included in your journey.
If you cancel more than 45 days before arrival, we generally retain the 25% deposit and any additional non-refundable items. Within 45 days of arrival, further cancellation charges apply, and some services may be fully non-refundable. Your proposal and our Terms & Conditions explain the applicable conditions. Any mandatory rights under Norwegian package travel legislation remain unaffected.
Can I change my travel dates after booking?
We will do our best to accommodate changes. However, date changes depend on supplier availability and may result in additional charges or cancellation fees.
Do you recommend travel insurance?
Yes. We strongly recommend comprehensive travel insurance that covers medical emergencies, cancellations, travel interruptions, luggage, and planned activities.
Ideally, arrange insurance when you confirm your booking.
5. Northern Lights
When is the best time to see the Northern Lights?
The Northern Lights are generally visible in Northern Norway from September to early April, when nights are dark enough. The best time for your journey depends on whether you prefer autumn landscapes, snowy winter scenery or longer daylight hours in early spring.
Can you guarantee the Northern Lights?
No. The Northern Lights are a natural phenomenon, and sightings depend on solar activity, cloud cover, darkness and local conditions. Our experienced local guides use weather forecasts, regional knowledge and flexible routes to give you the best possible opportunity.
How many nights should we stay?
We recommend spending at least four to five nights in Northern Norway, preferably longer if the Northern Lights are a major priority. A longer stay gives you more chances to experience favourable weather and aurora conditions.
What happens if the weather is cloudy?
Cloud cover can vary widely by location. Our guides may travel inland or away from the coast to find clearer skies. Sometimes conditions remain unsuitable across a wide region, and sightings are not possible.
Does a low KP index mean we won't see the Northern Lights?
Not necessarily. Tromsø lies beneath the auroral oval, meaning Northern Lights can be visible even when the KP index is relatively low. Cloud cover and local viewing conditions are often more important than the KP forecast alone.
Are Northern Lights experiences private?
We can arrange private Northern Lights experiences with dedicated guides and transportation, allowing greater flexibility, comfort and a more personalised evening. Small-group experiences may also be available.
How long does a Northern Lights experience last?
Duration varies depending on the experience, weather, viewing locations, and travel distances. Some evenings require longer journeys to find favourable conditions. Your itinerary will explain the planned arrangements.
Will we receive photographs?
Photography arrangements depend on the experience booked. Some include guide-assisted photography, while you may arrange professional photography services separately.
What happens if we don't see the Northern Lights?
While every effort is made to provide the best possible viewing opportunity, sightings cannot be guaranteed.
Not seeing the Northern Lights does not automatically entitle guests to a refund. Any rebooking or alternative arrangements depend on the specific experience and its booking conditions.
6. Weather, Seasons & Safety
How cold does it get in Northern Norway?
Temperatures vary significantly by destination, season and distance from the coast.
Coastal areas such as Tromsø often have milder temperatures than inland locations, but wind, snow, and changing conditions can make it feel much colder.
Does bad weather mean activities will be cancelled?
Not necessarily. Snow, wind, and changing weather are normal parts of Arctic travel.
We adjust or cancel activities when conditions make them unsafe or unsuitable, based on professional assessments.
What happens if an activity is cancelled due to weather?
We will contact you and explore suitable alternatives, such as rescheduling, replacing the activity or adjusting the itinerary. Any refunds or additional costs depend on the applicable booking conditions and your statutory rights.
Can the itinerary change during our stay?
Yes. Arctic weather, road conditions, transport disruptions and supplier availability may occasionally require adjustments. Our local team will coordinate changes and keep you informed.
Is it safe to travel in the Arctic during winter?
Yes, with appropriate preparation and experienced operators. We work with professional guides, reliable transportation providers and trusted partners who understand Arctic conditions.
Safety always comes before the planned itinerary.
What should we pack?
We recommend warm base layers, insulating mid-layers, weather-resistant outerwear, insulated footwear, gloves and a warm hat. We provide more specific recommendations based on the season and activities in your journey.
Can we experience the Midnight Sun?
Yes. During summer, parts of Northern Norway experience continuous daylight. In Tromsø, the Midnight Sun generally occurs from late May to late July. We can design journeys around this extraordinary seasonal phenomenon.
7. Arrival, Departure & Transportation
How do we get to Northern Norway?
Tromsø and other northern destinations are accessible by air, including connections through Oslo and selected international airports. Depending on your itinerary, you may also travel by coastal ship, private vehicle, or other transportation.
Can you arrange airport transfers?
Yes. We can arrange private airport transfers with professional drivers and premium vehicles, including transportation directly to your accommodation.
Will someone meet us at the airport?
If a private arrival transfer is included, your itinerary will provide meeting instructions and contact information for your driver.
What happens if our flight is delayed?
Please contact us as soon as you become aware of a delay. We will coordinate with the relevant transportation providers and, where possible, assist with adjustments. Additional charges may apply depending on the circumstances and booking conditions.
Can you arrange transfers between destinations?
Absolutely. We can organise private transportation between destinations such as Tromsø, Senja, Lyngen, Alta and Lofoten, including scenic stops along the way.
What vehicles do you use?
Through our sister company, Legendary Adventure, we operate a fleet of premium Mercedes vehicles, offering comfortable transportation for private travellers, families and small groups.
We can arrange other transportation options through trusted partners.
Can you arrange helicopters or private boats?
Yes. Depending on the destination, season and availability, we can arrange helicopter transfers, private boats and other exclusive transportation experiences.
Can you organise rental cars or self-drive journeys?
Yes. We can create personalised self-drive itineraries featuring scenic routes, carefully selected accommodation, unique experiences and recommended stops along the way.
For insurance reasons, guests must book their rental vehicles directly with the rental company.
However, we are happy to advise on suitable routes and travel arrangements.
Winter driving in the Arctic requires experience and extra caution because weather and road conditions can change quickly.
Can you assist with departure arrangements?
Certainly. We coordinate your departure transfers and provide the information you need to complete your journey smoothly.
8. Accommodation & Dining
What types of accommodation do you offer?
We carefully select accommodation to match your travel style, from premium hotels and exclusive private apartments to luxury Arctic lodges and secluded wilderness cabins. Our recommendations consider comfort, location, atmosphere and the overall experience.
Can you arrange private cabins or exclusive accommodation?
Yes. We can source private cabins, luxury retreats and exclusive-use properties for couples, families and private groups, subject to availability.
Can we stay in more than one destination?
Absolutely. We often combine destinations to create varied experiences. However, we also understand the importance of relaxation and can minimise changes to your accommodation if you prefer.
Can you arrange restaurants and private dining?
Yes. We can assist with restaurant reservations, local culinary experiences, private dining and special celebrations.
Can you accommodate dietary requirements?
We can request vegetarian, vegan, gluten-free and other dietary arrangements with our accommodation and experience partners. Please let us know about allergies or dietary requirements in advance. While we make every effort to accommodate your needs, specific arrangements depend on the provider.
Can you arrange romantic experiences?
Certainly. We can design romantic escapes, honeymoons, proposals and anniversary journeys with private accommodation, intimate dining and unforgettable Arctic experiences.
9. Families, Groups & Accessibility
Is Northern Norway suitable for families with children?
Absolutely. Northern Norway offers wonderful experiences for families, including wildlife encounters, dog sledding, reindeer experiences, scenic excursions and outdoor adventures.
We adapt itineraries to suit children's ages, interests and energy levels.
Are there minimum age requirements for activities?
Some experiences have minimum age, height, or physical requirements for safety.
We will help you select suitable activities based on everyone's ages.
Can you provide child seats?
Yes. Appropriate child seats can be arranged for private transportation when requested in advance. Please provide the children's ages and relevant seating requirements.
Can you arrange multi-generational family journeys?
Certainly. We design journeys for multi-generational families, balancing shared experiences with individual interests, comfort, and flexibility.
Can you accommodate large private groups?
Yes. We can coordinate transportation, accommodation, guides and activities for private groups, corporate travellers and special events.
What if someone in our group has limited mobility?
Please let us know about any accessibility or mobility requirements before booking. We will recommend suitable accommodation, transportation and experiences wherever possible.
Some Arctic activities and remote locations have accessibility limitations.
Are the activities physically demanding?
Activity levels vary considerably. Scenic excursions and cultural experiences can be relaxed, while ski touring, hiking and certain wilderness adventures require good physical fitness.
We'll match activities to your abilities and preferences.
10. Experiences & Activities
What experiences can Legendary Arctic arrange?
Our portfolio includes Northern Lights experiences, dog sledding, Sámi cultural encounters, whale watching, ski touring, snowshoeing, snowmobiling, scenic fjord excursions, kayaking, cycling, culinary experiences and private wilderness adventures. Availability varies by season and destination.
Are your experiences private or shared?
We specialise in private, personalised journeys, but select experiences may run in small groups or in a shared format. Your proposal will clearly explain which arrangements are private and which are shared.
Do you operate your own experiences?
Yes. Through our sister company, Legendary Adventure, we operate many experiences with our own guides and vehicles. We also collaborate with carefully selected local partners for specialist activities and services.
Can we experience Sámi culture?
Yes. We can arrange respectful, Sámi-led cultural encounters where available, including storytelling, reindeer-related experiences and opportunities to learn about Sámi history, traditions and contemporary life.
When is whale watching season?
Whale watching in the Tromsø and Skjervøy region generally occurs in late autumn and winter, though exact timing varies with whale movements and feeding conditions.
Wildlife sightings can never be guaranteed.
Can you arrange ski touring?
Yes. Northern Norway offers exceptional ski touring opportunities, particularly in the Lyngen Alps and surrounding mountain regions. We work with qualified guides and plan experiences based on ability, snow conditions, and safety considerations.
Can we combine adventure with relaxation?
Absolutely. Many guests enjoy a mix of active experiences, scenic journeys, exceptional accommodation, fine dining, and peaceful moments in nature. Every itinerary is designed around your preferred balance.
