We create high-end, tailor-made Arctic travel experiences for guests from around the world. These Terms & Conditions set out what you can expect when booking with us and what we expect from you. By booking with Legendary Arctic, you accept these terms.
1. Booking & Payment
Payment Process: All payments are securely processed via Stripe, a PCI-certified payment provider. Funds are held in a dedicated client account at SpareBank 1 Nord-Norge.
Payment Terms:

Deposit: 25% non-refundable, due upon booking confirmation.

Final Balance: Due no later than 45 days before departure.

Late Bookings (<45 days): Full payment required at booking.
Methods of Payment:
Secure online payment or bank transfer. We do not store card details.
Invoicing & Split Payments:
One itinerary and invoice per booking. Split payments incur a NOK 100 admin fee per extra transaction.
What is Included:
Your itinerary will clearly state inclusions. All prices include Norwegian VAT. Unless explicitly stated, prices exclude:

Personal expenses (e.g., meals not listed, drinks, tips)

Travel, health, or cancellation insurance

Visa fees, passport services, vaccination costs

Any items not mentioned in the itinerary
Changes by You:
Modifications (e.g., name changes, upgrades) are handled case by case and may incur an administrative fee.
Changes by Us:
We reserve the right to adjust itineraries (due to weather, safety, or partner availability) while maintaining overall quality.
2. Cancellation Policy
More than 45 days before arrival:
Refund minus 25% deposit and any non-refundable items.
45 days or less before arrival:
Minimum 25% + 10% cancellation fee; up to 100% non-refundable depending on partner terms. We will refund any amounts we can recover from partners.
Refund Processing:
Refunds are processed within seven working days after cancellation confirmation.
3. Package Travel, Linked Arrangements & Consumer Protection
Legendary Arctic provides package travel and linked travel arrangements under the Norwegian Package Travel Act. You will be informed when your booking qualifies as such, which provides you with additional consumer rights. Furthermore, Legendary Arctic is a member of the Norwegian Travel Guarantee Fund (Reisegarantifondet). In the unlikely event of our insolvency, your payments are protected, and you are entitled to a refund through the fund.
4. Insurance & Travel Documents
You are responsible for valid passports, visas, travel insurance, and meeting health requirements. We strongly recommend comprehensive insurance covering cancellations, health, luggage, and accidents.
5. Health, Fitness & Medical Needs
Ensure activities match your fitness level. Please notify us before booking of any medical conditions or needs. You are responsible for bringing the necessary medication and equipment. Some activities are not wheelchair accessible.
6. Behaviour & Age Requirements
By booking, you confirm that all participants meet any age requirements. We reserve the right to refuse service or remove guests whose behaviour endangers safety or violates local laws or customs, without refund.
7. Sightings & Natural Phenomena
We cannot guarantee sightings of the Northern Lights, wildlife, or other natural phenomena, as these depend on weather and natural conditions.
8. Our Partners & Third-Party Services
We work with trusted partners (guides, hotels, transport). When using their services, you agree to their terms. We are not liable for their performance or events outside our control.
9. Special Requests
We will try to accommodate dietary, medical, or other special requests, but we cannot guarantee fulfilment.
10. Rental car & Driving
If your journey includes a rental car, all drivers must comply with the rental company’s terms and conditions. A valid driver’s license and a credit card are required at the time of pickup. Please note that in Norway, operating a snowmobile or any other motorised vehicle also requires a valid driver’s license.
11. Data Protection & Privacy
We collect personal data (e.g., name, contact information, passport details, dietary needs) to deliver services. We share data only with trusted partners and store it securely, retaining it only as needed. By booking for others, you confirm you have their consent. Please refer to our Privacy Policy for details.
Imagery Consent: We may use photos or videos from our trips for promotional purposes. We will request consent when required by law.
12. Extraordinary Events (Force Majeure)
In the event of war, natural disaster, pandemic, or other circumstances beyond our control, we may modify, postpone, or cancel your trip. We will offer alternatives or refunds where possible.
13. Liability Limitation
Our liability is limited to the price of your booked journey. We are not liable for indirect losses, consequential damages, or delays, except where required by Norwegian law.
14. Complaints & Disputes
If dissatisfied, please get in touch with us as soon as possible. Complaints must be submitted within 7 days of the issue. Unresolved disputes may be brought to the Norwegian Package Travel Complaints Board or Norwegian courts. EU residents may also use the EU Online Dispute Resolution platform.
15. Governing Law & Jurisdiction
These terms are governed by Norwegian law. Disputes are subject to Norwegian court jurisdiction.
